Academic and Cultural Programs and Special Event Fund

Introduction

Each year, the University sets aside a pool of funds for the “Office of the Provost Academic & Cultural Programs and Special Event Fund”.   The goal of this fund is to support academic events at Miami that foster educational growth and foster community participation.

The Provost designates a staff member to review fund applications to determine whether the request is aligned with established criteria and then allocate funds as appropriate.

Although the Provost’s Office is willing to consider a range of needs for funding, it cannot support all requests and seeks to avoid duplicating other funding sources or funding projects more properly supported by different campus entities. Prior to applying for funding support through the Office of the Provost Academic & Cultural Programs and Special Event Fund, applications must first seek funding from primary funding sources such as:

  • Department
  • Division
  • Associated Student Government, when appropriate
  • And / or Relevant University Centers.

Application due dates:

  • For events occurring during the fall semester, the deadline is no later than August 15 of that same fall semester.
  • For events occurring during winter term or spring semester, the deadline is no later than December 1 of the previous calendar year.

Decisions will be made and communicated no later than one month following the deadline.  Applicants will be contacted via email at the address(es) supplied in the application, indicating whether funding has been approved, and if so, for how much.

Timely submission of applications is required in order to allow ample time to review the program funding request.

Funding allocations typically range from $100 to $500.

Applying for Academic Program Funds

Program funding may only be used for purposes specified in the approved Program Funding application.  Any changes in the scope of the program funding must be approved by the Provost’s Office.

Funding criteria:

  • The program should enhance the education, research, and learning experiences of the campus community.
  • The program, event or activity must affect a broad sector(s) of the campus community.  
  • Program funds will not be used for events that are private in nature (i.e., invitation only) or retirement parties.
  • Funds may not be used for meals or refreshments. 
  • Proposers must have sought funding from at least one other campus unit in addition to the academic department and division.
  • Priority is given to groups that demonstrate collaborative efforts in creating the program.
  • Funds may not be used for any of the following:
    1. Student salaries or scholarships
    2. Faculty or staff salaries
    3. Equipment purchases (e.g., computers, projectors, amplifiers, etc.) 

Process for Utilizing Award Money

Groups approved for Academic Program Funds agree to recognize the Office of the Provost in all advertising, promotional materials and printed programs for the event.

Groups approved for Academic Program Funds must abide by all of Miami University’s policies for events and alcohol, such as alcohol and university property; hosting; campus events; purchasing; and independent contractors.

The Office of the Provost reserves the right to cancel any approved funds for failure to comply with program funds policies and/or procedures.  Any unexpended funds or funds allocated for a canceled event will revert back to the Office of the Provost.
