Guidelines for Participation

Eligibility and Requirements

To be eligible for participation in the Job Enrichment Program (JEP), individuals must meet the following qualifications and follow the application process.

  • All Classified staff members that have at least 1 year of Miami University employment without a break in service (see below) are eligible to apply to the JEP. Eligibility will also depend on the staff member's employment status:
    • Full-time Classified staff are eligible in accordance with program requirements.
    • Half-time Classified staff may participate with some restrictions.
    • Temporary and intermittent Classified staff is not eligible to participate in the JEP.
    • University Retirees rehired by the University are not eligible to participate in the JEP.
    • Staff members may not participate in learning opportunities for Job Enrichment credit during approved leaves (e.g., long-term FMLA).
  • Current, satisfactory performance evaluation within the last 365 days must be on file in the Department of Human Resources office.
  • The following corrective actions may affect your JEP eligibility:
    • A verbal written reprimand will not disqualify you from Job Enrichment participation as of July 1, 2013.
    • A written disciplinary notice will disqualify you from Job Enrichment participation for one year.
    • A disciplinary suspension will disqualify you from Job Enrichment participation for two years.
  • If a staff member becomes ineligible to participate in the JEP, they must complete the Reinstatement Application in MyCard.
  • If a staff member has a break in service, the reinstatement process is as follows:
    • If they return to Miami University in Classified position within 1 year:
      • They will complete the JEP Reinstatement Application in MyCard.
      • Job Enrichment standings and records will be restored including coursework and premium pay.
    • If they return to Miami University in Classified position after 1 year but before 2 years:
      • They must wait one year to apply for Reinstatement into JEP.
      • Job Enrichment standings and records will be restored including coursework and premium pay.
    • If they return to Miami University in Classified position after 2 years:
      • They must wait one year to apply for Reinstatement into JEP.
      • Job Enrichment coursework records will be restored; therefore courses previously applied to an award will not be eligible for future Job Enrichment credit.
      • Job Enrichment Bonuses and Premium Pay will not be restored; therefore, staff members begin earning credit towards Bonus 1 upon reinstatement.

Application Process

Participation in the JEP is voluntary and requires an application be filled out. The application process is as follows:

  • The JEP application must be submitted online through MyCard.
  • Upon receipt of the application and verification of all requirements, a JEP Administrator will contact the supervisor/director provided in the application for participation approval/denial.
  • A JEP Administrator will notify the staff member via University email of their approval/denial into the JEP and provide specific information regarding their JEP status. If you have not heard from a JEP Administrator within two weeks of applying, please contact the Staff Development Office.
  • Accepted JEP participants are placed in one of the following three tracks according to job function (not department): Administrative, Maintenance, and Service. Each track includes a series of learning opportunities created specifically for each HR functional job title. These courses can be incorporated into a professional development plan.
  • Classified staff may view their Job Enrichment records and progress online in MyCard.

Course Approval/Point Request Form Process

This form is used for both course approval requests and point requests. The purpose and process of each request are outlined below.

If requesting Job Enrichment points for an approved learning opportunity:

  • Complete Course Approval/Point Request form.
  • Submit the form with required documentation (listed on form) to JEP Administrator, 127 Staff Development Center.
  • A JEP Administrator will award appropriate Job Enrichment credit and update MyCard record.

For courses not listed under learning opportunities, a request for course approval must be made prior to taking a course, as the Job Enrichment credit decision (approved or not approved) may affect the person’s desire to take the course. To request course approval for these courses:

  • Complete the Course Approval/Point Request form.
  • Submit the form with required documentation (listed on form) to JEP Administrator, 127 Staff Development Center.
  • Course Approval request will be reviewed by all JEP Administrators and decision will be communicated to the participant via email.
  • If the course is approved, the participant will need to complete and submit the Course Approval/Point Request form again upon completion of the course (providing required documentation) to obtain point credit.
  • A JEP Administrator will award appropriate Job Enrichment credit and update MyCard record.

If requesting both course approval (for a learning opportunity not listed) and points to be applied, the request should be made after taking the course, as the Job Enrichment credit decision (approved or not approved) does not affect person’s desire to take the course (i.e., a person completing a degree program and requesting courses to be considered for Job Enrichment credit). Follow these steps:

  • Complete Course Approval/Point Request form.
  • Submit the form with required documentation (listed on form) to JEP Administrator, 127 Staff Development Center.
  • Course Approval/Point Request will be reviewed by all JEP Administrators and decision will be communicated to the participant via email.
  • If the course is approved, a JEP Administrator will award appropriate Job Enrichment credit and update MyCard record.

Attendance Expectations and Requirements

JEP participants are expected to fully attend all learning opportunities in which Job Enrichment credit is granted. This expectation is included in the Ethics Statement. Learning opportunities not completed in their entirety will not be awarded Job Enrichment credit; no partial credit will be awarded. In addition, staff members that do not fully attend courses that have been paid by the University may be responsible for repaying the fees to the University.

Learning opportunities offered during normal work schedule:

  • Full-time staff members may participate in Job Enrichment learning opportunities during their normal work schedule with supervisor approval.
    • Supervisors may allow full-time staff members to participate in Job Enrichment learning opportunities up to 20 hours during the normal work schedule within a one-year period of time (fiscal year).
  • Half-time staff members are not eligible to participate in Job Enrichment learning opportunities during their work schedule unless they have obtained supervisor approval.
  • Supervisors are responsible for authorizing release time for staff to attend learning opportunities during the normal work schedule.
    • Release time during the normal work schedule is not guaranteed and is based on the business need as determined by the supervisor.
    • Consideration will include the impact on the individual, department, division, and University.
    • The supervisor will ensure that participation will not interfere with the satisfactory performance of the normal employment obligations.
    • The supervisor will monitor equitable opportunity for all staff to participate in the JEP.
  • Overtime payment is not guaranteed for learning opportunities that overlap with the end of a staff member’s working hours. The individual should work with their supervisor to adjust work schedules when possible to avoid an overtime situation.

Learning opportunities offered outside normal work schedule:

  • Full-time and half-time staff members may participate in Job Enrichment learning opportunities outside their normal work schedule.
  • Supervisors are responsible for considering any adjustments to a normal work schedule to accommodate learning opportunities outside normal work schedules.
  • Overtime payment is not guaranteed for learning opportunities offered outside normal work schedules. Staff members should work with their supervisor to adjust work schedules when possible to avoid an overtime situation.

Repeatable Learning Opportunities

Contact your JEP Administrator before repeating any learning opportunity. Job Enrichment participants may choose to repeat learning opportunities; however, Job Enrichment credit will only be awarded one time per learning opportunity unless the course meets one of the exceptions below.

  • Courses that have significantly changed.
  • Annual conferences/seminars (this includes tested and non-tested learning opportunities).
  • Required professional certification courses.

Learning Opportunity Related Expenses

Some related expenses associated with JEP learning opportunities may be the responsibility of the staff member.

Ethics Statement

Participation in the JEP requires staff members to be honest about their efforts and accomplishments. Acts of dishonesty will result in suspension from participation in the JEP for a minimum of one year or a time deemed appropriate by the JEP Administrators. Dishonesty is any activity that tends to compromise the integrity of the JEP. This includes, but is not limited to, furnishing false information or omitting relevant or necessary information in order to gain a benefit. Asking for Job Enrichment materials and actively participating in the JEP while currently disqualified from the program could be construed as dishonest. Any submission of information for Job Enrichment points, bonuses or premium pay increase is a representation that the staff member has completed all the course/program requirements including full attendance.

Earning Points

Job Enrichment points may be received upon completion of a learning opportunity.

Point Calculation

Point calculation is based on the length of the learning opportunity:

  • 1-hour learning opportunity (e.g., training session) = 1 Job Enrichment point.
  • 1-semester credit-hour (higher-education academic courses) = 8 Job Enrichment points.

Note: If a school follows quarter hours, conversion to semester hours for Job Enrichment credit is awarded at 2/3 of a semester hour as stated on Miami University Registrar’s website.

Point Expiration

To ensure points are awarded for current learning opportunities, points expire as follows:

  • Job Enrichment points applicable to Job Enrichment Bonuses 1-9 expire after 3 years.
  • Job Enrichment points applicable to all Advanced Component Bonuses expire after 2 years.

Awards for Completion

The A JEP Administrator will verify completion of all criteria and then process the award for the appropriate payroll period.

Job Enrichment Bonus: $550 (see chart)

JEP participants may receive a Job Enrichment Bonus upon completion of the following criteria:

  • 50 Job Enrichment points.
  • Complete all prerequisite courses. The staff member is responsible for monitoring expiration dates of these training's and submitting certificates of completion to JEP Administrator.
  • Current, satisfactory performance evaluation within the last 365 days.
  • 6-month waiting period is required between each Job Enrichment Bonus.

Job Enrichment Premium Pay Increase (see chart)

JEP participants will receive a Job Enrichment (JE) Premium Pay Increase upon completion of Job Enrichment Bonus 3, 6 and 9. JE Premium Pay Increases are identified as “premium pay” on the staff member’s pay stub. The increases are:

  • JE Premium Pay Increase 1: $.55 per hour premium pay.
  • JE Premium Pay Increase 2: $.65 per hour premium pay.
    • Total $1.20 for JE Premium Pay Increase 1 and 2.
  • JE Premium Pay Increase 3: $.80 per hour premium pay.
    • Total $2.00 for JE Premium Pay Increase 1, 2 and 3.

A staff member who has qualified for a Job Enrichment Premium Pay Increase, and has been awarded the pay increase, will retain this distinction should the staff member change Classified positions at Miami University.

Advanced Component Bonus: $550 (see chart)

JEP participants who have been awarded JE Bonus 9 may receive an annual Advanced Component Bonus upon completion of the following criteria:

  • 50 Job Enrichment points.
  • Current, satisfactory performance evaluation within the last 365 days.
  • 12-month waiting period is required after receiving JE Bonus 9 and between each Advanced Component Bonus.

Learning Opportunities

JEP Learning Opportunities are a set of approved courses designed to expand the knowledge, skills, and abilities of Classified staff members at Miami University. Learning opportunities may be modified based on the business needs of the University.

All eligible coursework must be completed while employed at Miami University as a Classified staff member. Courses completed prior to being accepted into the JEP will not count for JEP credit. All eligible courses must also include a tested learning outcome or skill assessment. Effective January 1, 2015, JEP participants may be awarded credit for two non-tested learning opportunities, earning up to a combined maximum of 40 total points, per calendar year pending the course approval process. This may include conferences, seminars, webinars, etc.

Courses not listed below may be considered for Job Enrichment credit by completing the Course Approval/Point Request Form and attaching the necessary documentation as listed on the form. Course approval requests will be reviewed by a JEP Administrators. All decisions are final. (Courses considered part of your required job training are not eligible for Job Enrichment credit.)

Academic Course

Academic courses offered by Miami University as well as other educational institutions may be eligible for Job Enrichment credit. Please note: All costs associated with academic courses are the responsibility of the employee (tuition fee waiver benefit may apply for Miami University courses).

Access: Follow the application/registration processes specific for institution offering the course.

Job Enrichment Process and Credit Requirements:

  • Course must be on your curriculum; if not, see Course Approval/Point Request Form process.
  • Obtain a passing grade for the course.
  • Submit Course Approval/Point Request Form with appropriate documentation.

American Culinary Federation (ACF)

Chefcertification.com is an online learning portal providing access to online training courses specific to nutrition, cooking, and the culinary fields. Chefcertification.com provides user-friendly online courses that help aspiring chefs reach their ACF Chef Certification goals. By taking courses using our self-paced online service, staff earns the required credit hours for initial certification or certification renewal, all from the comforts of home or the confines of work. There are no term schedules; students may register online at any time.

Job Enrichment Process and Credit Requirements:

  • The course must be on your curriculum; if not, see Course Approval/Point Request Form process.
  • All quizzes/tests are automatically graded online. After each quiz, a list of missed questions (and your answers) is generated by the database. This gives you a better opportunity to brush up on your knowledge, and (if needed) take the quiz again.
  • Once you complete the course, you are greeted with a confirmation of completion. You will receive an authentic certificate of completion via email within a week.
  • Submit Course Approval/Point Request Form.

American Institute of Baking (AIB)

AIB classes equip graduates with skills and confidence to innovate, develop new products, and to troubleshoot production problems based on a curriculum that synthesizes science and baking tradition. For correspondence courses (hard copy book and online tests), enrollments are accepted at any time. There are no fixed starting dates. Each course is made up of a series of lessons; each lesson takes between six-eight hours to complete. Each course must be completed in either six months or one year (see course details.)

Job Enrichment Process and Credit Requirements:

  • Obtain a grade of 70% or higher.
  • Obtain certificate of completion, congratulatory letter, and summary grade report.
  • Submit Course Approval/Point Request Form.

American Management Association (AMA)

American Management Association (AMA) courses are self-study books designed to enhance your professional development skills. All AMA courses include a multiple choice pre-test and post-test; some courses require the completion of a case study in addition to the tests.

Job Enrichment Process and Credit Requirements:

  • Course must be on your curriculum; if not, see Course Approval/Point Request Form process.
  • Follow the “How to take this course” instructions in the front of the AMA course book.
  • Submit pre-test answer form to AMA for grading (optional).
  • Submit post-test answer form to AMA for grading.
  • Submit case study to AMA if required for specific course.
  • Obtain a letter indicating grade of 70% or greater on the post-test.
  • Obtain a certificate for case study courses.
  • Re-testing:
    • If a post-test score is below 70%, the test can be retaken one time. See Job Enrichment Administrator for details.
  • Return AMA course book to a JEP Administrator unless otherwise arranged.
  • Submit Course Approval/Point Request Form with appropriate documentation.

CE Direct

CE Direct provides online learning opportunities for allied health professionals and nutrition professionals.

Job Enrichment Process and Credit Requirements:

  • Obtain a grade of 75% or greater on the overall assessment.
  • Submit Course Approval/Point Request Form.

Cleaning Management Institute (CMI)

Cleaning Management Institute (CMI) is a Custodial Technician self-study book that is split into two levels, Basic and Advanced. The Basic Level includes five modules, and the Advanced Level contains three modules. Each module covers a different cleaning subject and each has a corresponding proctored, certification exam.

Job Enrichment Process and Credit Requirements:

  • Course must be on your curriculum; if not, see Course Approval/Point Request Form process.
  • Contact your JEP Administrator to schedule tests and re-tests.
  • Obtain a grade of 80% or greater on each module test.
  • Re-testing:.
    • If the test score is below 80%, the test can be retaken after 3 weeks from the original test date.
    • Each module is graded independently; therefore, you only need to retake the modules in which a score below 80% was received.
  • Submit Course Approval/Point Request Form.

Education Institute (EI)

The American Hotel and Lodging Educational Institute (AHLEI) offers more than 30 hospitality management courses, available through traditional home study (correspondence courses called “Distance Learning” Opportunities) or online through our “CourseLine®” program. Take individual courses or work toward earning Areas of Specialization certificates, a Hospitality Fundamentals certificate, a Hospitality Operations certificate, a Hospitality Management Diploma or a Food and Beverage Management Diploma.

  • Must earn above a 70% on the proctored exam to obtain the course completion certificate.
  • Submit Course Approval/Point Request Form.

National Retail Federation (NRF)

The NRF Foundation’s certification programs help individuals advance their careers. Retail Management Certification is available online only (PC based) for both courses and examinations. NRF also offers a self-study Customer Service Certification that is available for course content in a textbook format and course examinations in an online format.

NCCER

The training programs offered by NCCER meet national industry standards. Individual modules may be completed at home and at the participant’s pace. Course completion timeframe may vary for each module. See your Job Enrichment Program Administrator for details.

  • Obtain a passing grade for the course.

Skillport

Skillport (Miami unique ID and password required) is an online learning portal providing access to online training courses designed to enhance your business and technical skills.

Job Enrichment Process and Credit Requirements:

  • Must spend a minimum of 35% of the vendor’s expected duration in the course.
    • For example, a Skillport course listed on your curriculum worth two points, the vendor-recommended duration is two hours. To satisfy the 35% of the vendor-recommended duration, an individual would need to spend at least 42 minutes on the course. To calculate the required time, change hours to minutes and multiply by .35. The following would be how to calculate a two-hour Skillport course: 120 x .35 = 42.
  • Obtain a grade of 70% or greater on the overall assessment.
  • Skillport briefs, simulations, and videos are not eligible for Job Enrichment credit.
  • Submit Course Approval/Point Request Form.

TPC Training

TPC Training consists of self-study books designed to enhance industrial, maintenance, and business skills for service and maintenance professionals. Each course consists of multiple lessons, programmed exercises, and self-check quizzes for optimal learning. All courses include a final exam proctored by the appropriate Job Enrichment Administrator.

Job Enrichment Process and Credit Requirements:

  • Course must be on your curriculum; if not, see Course Approval/Point Request Form process.
  • Contact your JEP Administrator to schedule tests and re-tests.
  • Obtain a grade of 70% or greater on the final exam.
  • Re-testing:
    • If the test score is below 70%, the test can be retaken after 3 weeks from the original test date.
  • Submit Course Approval/Point Request Form.

Other Tested Learning Opportunities

Other tested learning opportunities may be eligible for Job Enrichment credit. These could include online courses, conferences, facilitated training, etc.

Job Enrichment Process and Credit Requirements:

  • Other tested learning opportunities not listed must follow the Course Approval/Point Request Form process
  • Submit Course Approval/Point Request Form with appropriate documentation. This could include:
    • Detailed agenda with a timeframe (lunch/breaks, roundtable discussions, safety topics, and compliance courses are not eligible for Job Enrichment credit).
    • Event description with learning objectives.
    • Proof of successful completion.
    • Documentation from learning vendor indicating test results, passing score requirement, and/or certification hours.

Non-Tested Learning Opportunity

Effective January 1, 2015, Job Enrichment Participants have the ability to receive Job Enrichment credit for two non-tested learning opportunities (e.g., course, seminar, conference, audited academic course) earning up to a combined maximum of 40 total points per calendar year, pending the Course Approval process. All non-tested learning opportunities must be relevant to participant’s job description.

Job Enrichment Process and Credit Requirements:

  • Non-tested learning opportunities not listed and must follow the Course Approval/Point Request Form process.
  • Submit Course Approval/Point Request Form with appropriate documentation. This could include:
    • Detailed agenda with a timeframe (lunch/breaks, roundtable discussions, safety topics, and compliance courses are not eligible for Job Enrichment credit).
    • Event description with learning objectives.
    • Learning event provider information (organization, instructor name, phone, website, email address, etc.).
    • Proof of attendance.

Human Resources Staff Development Workshops (HRSDW)
