Supervisor's Role

As a supervisor, you can support your staff members throughout the Job Enrichment Program (JEP). In order for staff to apply for JEP, they must have a performance evaluation completed within the last 365 days. Keeping your staff's performance evaluations up-to-date ensures their eligibility in JEP. 

When one of your staff applies for JEP, you will receive a copy of the application and must review and approve this application in order for the staff member to participate (see steps below).

Staff can then use the Course Approval/Point Request form (PDF 217KB) to request credit for the learning opportunities they complete. This form can be used to either 1) request a new course to count for JEP credit, or 2) submit proof of completion of an already-approved learning opportunity. You will receive a copy of this form in both cases. Please review and submit these forms promptly so your staff member can complete the JEP course approval process.

Annual Performance Evaluations

As part of performance management, supervisors are responsible for providing a performance evaluation every 365 days, in alignment with Miami University's 2020 Plan. Staff members who have an evaluation dated more than 365 days old, will not be eligible to receive an award until they have a current evaluation on file in Human Resources. The criteria that deem an evaluation "poor" is listed at the bottom of the Classified Performance Report (PDF 201KB).

Job Enrichment Application Review

  1. The supervisor will receive a copy of the staff member's Job Enrichment application via email.
  2. The supervisor must respond to the application email within seven days, approving or denying the staff member's eligibility to participate in the Job Enrichment Program.
  3. By approving this application, you are certifying that the staff member has acceptable performance and you support the individual participating in the Job Enrichment Program.
  4. By denying this application, you do not support the individual participating in the Job Enrichment Program. You are responsible for sharing the reasons why you have denied the application (including supporting documentation) with the staff member. In addition, please submit a summary of why you are denying the application to the Department of Labor Relations.

Signing a Course Approval/Point Request Form

A supervisor's signature acknowledges the staff member's future participation and/or completion in a course. It also serves as an awareness and partnership tool between the supervisor and the staff member regarding their professional development plan.

Curricula and Learning Opportunities

The Job Enrichment Program is curriculum based. Each HR Functional Job Title has a list of approved courses and learning opportunities for Job Enrichment credit (see Gudelines for Participation).

The Course Approval/Point Request form (PDF 217KB) must be submitted to request credit for approved courses, and approval for courses not listed on curricula. This form requires the supervisor’s signature.

Learning Opportunities Offered During Normal Work Schedule

  • Full-time Classified staff members may participate in Job Enrichment learning opportunities during their normal work schedule with supervisor approval.
  • Supervisors may allow full-time staff members to participate in Job Enrichment learning opportunities up to 20 hours during the normal work schedule within a one-year period of time (fiscal year).
  • Half-time staff members are not eligible to participate in Job Enrichment learning opportunities during their work schedule unless they have obtained supervisor approval.
  • Supervisors are responsible for authorizing release time for staff to attend learning opportunities during the normal work schedule. Release time during the normal work schedule is not guaranteed and is based on the business need as determined by the supervisor. Consideration will include the impact on the staff member, department, division, and University.
  • The supervisor will ensure that participation will not interfere with the satisfactory performance of the normal employment obligations.
  • The supervisor will monitor equitable opportunity for all staff to participate in the JEP.
  • Overtime payment is not guaranteed for learning opportunities that overlap with the end of a staff member's working hours. The staff member should work with their supervisor to adjust work schedules when possible to avoid an overtime situation.

Learning Opportunities Offered Outside Normal Work Schedule

  • Full-time and half-time staff members may participate in Job Enrichment learning opportunities outside their normal work schedule.
  • Supervisors are responsible for considering any adjustments to a normal work schedule to accommodate learning opportunities outside normal work schedules.
  • Overtime payment is not guaranteed for learning opportunities offered outside normal work schedules. Staff members should work with their supervisor to adjust work schedules when possible to avoid an overtime situation.
