In cases where a principal investigator (PI) has received informal notification of a forthcoming grant award and the funding agency allows for pre-award spending — or if an award document has been received, but has not yet been fully executed — the PI may request the creation of an advanced account in order to begin work and charge expenses.

The PI must complete an Advanced Account Request in eSPA. The Advanced Account Request must include, as an attachment, documentation that the grant will be funded (e.g., an e-mail from the sponsor or a copy of an unsigned grant agreement) and evidence that the funding agency allows for pre-award spending (if expenses will be incurred prior to the award start date).

To submit an Advanced Account Request:

  1. Log in to eSPA with your Miami credentials.
  2. Click the "Cayuse SP (Sponsored Projects)" link.
  3. Click on "My Proposals" in the Proposals Dashboard.
  4. Locate the original SP record associated with this request under "Submitted Proposals." (If an SP record was not originally created and approved for this proposal, you must do that now in order to proceed. If you have questions about how to create an SP record, please contact OARS at 513-529-3600).
  5. Select the proposal record and click on the "Advanced Account" tab.
  6. Click on "Add Advanced Account Request to Proposal."
  7. Complete the requested information, attaching documentation that the grant will be funded, and route for approval.

Please note that if an advanced account is created and the funds are not ultimately awarded by the funding agency, the PI, department chair, and/or dean will be fiscally responsible for any expenses charged to the account.
