The meeting was called to order at 12:02 p.m.
Presentation by Ann Littke, Sr. Personnel Technician, Human Resources
- Open Enrollment is October 9-31, 2023
- Any changes made by you during Open Enrollment become effective on January 1, 2024
- Open Enrollment is passive except for HSA and FSA
- If you have an HSA or FSA, you have to go back in and reset the amounts that you want to be deducted from your paycheck
- FSA limits have not been released yet
- HSA is going up a little bit
- $4,150 for single coverage and $8,300 for family (Pre-tax so you don’t have to pay taxes on it)
- Miami contributions will change next year due to Workday
- You will receive half in January and then monthly amounts beginning in July
- Premiums will stay the same as last year
- If you want to add a spouse, they still need to be eligible
- Either unemployed or covering more than 50% of the total premium of benefits where they are employed (you will need documentation)
- Spouses can be covered under dental and vision, regardless of other coverageChildren can be covered through the end of the month of the month that they turn 26, or if they are disabled
- If you want to add a spouse, they still need to be eligible
- You can start and stop Open Enrollment as many times as you want
- If you don’t finish, it will save where you left off
- Even if you submit, you can always go back all the way up to the 31st and change anything you decide
- Make sure that all of your personal information is correct, your salary, your number of pays, etc.
- Check the summary of deductions at the end to make sure you didn’t click something you didn’t mean to click
- There is a premium calculator online if you want to go in and calculate how much things are going to cost
- Information sessions are available on all campuses
- Information session dates are available on the Human Resources website
- Laptops are available at the information sessions and someone will be able to sit down with you to go over your options
- Hospital changes
- Kettering Hospital will now be Tier II (currently a Tier I)
- Your copay moves from 10% to 20%.
- Premier Hospital goes from a Tier II to a Tier I
- Aspirin coverage will also be changing
- Those affected will get a letter
- Death and Dismemberment insurance going to be 10 times the salary up to $750,000
- That’s the one that Miami pays for
- Healthy Miami will stay the same
- There will be a new vendor, so things may look a little different when you log in
- Limited free group fitness at the Miami Rec Department
- The onsite wellness coordinator will be new at the Health Center in Oxford
- The enhanced Preventative medication list for 2024 will be updated soon
- Christ Hospital stays the same with knee and hip replacements
- Things are covered 100% after your deductible
- Don’t need a referral, if you meet the criteria, you call the number directly
- Flexible Spending Accounts
- You have to have the High Deductible insurance to have the HSA
- You can also have a limited FSA for dental and vision
- HSA rolls over so you don’t lose it
- FSA is limited, around $400 or $500 stays, but you lose the rest if it is not spent
- If you have a PPO, you are eligible for the FSA
- You have to have the High Deductible insurance to have the HSA
- Voluntary Accidental Death will be up a little bit
- You can pick up voluntary life insurance for your spouse and children as well
- Tickets at Work (on the benefits website)
- More than just tickets
- Sign up and they will send you emails
- Vacation, hotel deals, buying cars, etc.
- Can part-time people use it? Someone will check into it
- Group Fitness and discounted membership at the Rec Center
- Charitable giving coming October 2 – November 17
- You can donate by payroll deduction or you can be billed at home
- Help sessions for Open Enrollment are listed on the Benefits webpage
- Flu Shots available in Oxford on the 19th and 26th at the help sessions
- October 19 is from 2:00 - 4:00 p.m.
- October 26 is from 8:00 – 10:00 a.m.

HR Update - Dawn Fahner
- Working with Tri-Health and Anthem on the availability of the updated COVID vaccines will be
- The government is not covering the cost of the vaccine for providers
- Some primary care physicians will not be carrying them
- Miami may decide to purchase some through Tri-Health to have available
- New vaccines became available mid to late September, but rollouts have been slow because the government isn’t covering the cost
- Miami will communicate if they do get them again, it will be voluntary and at no cost to individuals
- Workday within HR and Finance Offices
- Closing out initial configuration and builds in the system
- Testing will start late this month and throughout November and December
- In the new year, they will be reaching out to the external community to those who work in the different systems to help with testing and provide training
- Still working on the transition and rollout of July 1, 2024
- Live for HR and Finance platforms (Chrome River, TCP, Buyway, PageUp, and Process Maker)
- All these should be replaced in the Workday platform

- There is a Workday website with information about timelines and testing
- Currently being led by the Consulting Group
- Still not sure what all the platforms are that will be included in Workday
- We will know as we get a better understanding of what Workday can do for us

- The outdoor classroom gifted to the Miami Tribe will be at Bonham House
- Bonham will be expanded and then added to the outdoor space there, which will probably impact the parking

- In the Spring they will be meeting with other areas

- University Senate - Cheryl Chafin
- Mental Health Task Force for Faculty, staff, and students from all campuses
- Provide better communication
- Educate Faculty, staff, and students on the resources available
- Improve systems and policies currently in place
- Find ways to decrease mental health stigma on campus
- Ohio voting laws changing and how that will impact the November election
- Low Enrolled majors
- Options/focus on minors and certificates that are in demand by students
- Provost will meet with the Deans and Chairs of the departments that are affected
- The Associate Provost has been meeting with Chairs to explore options by December 1st
- He will then consult with the Provost and their Dean and come up with a proposal
- If the department is eliminated or consolidated, the Senate will assign a process coordinator to oversee the transition
- No faculty will be impacted by this
- UPAC rep asked if staff would be impacted, but there was no answer given
- Future needs:
- Refine the Miami Plan to align with the new vision
- Make minor certifications and concentrations more visible
- Remove barriers to future cross-department collaborations
- UPAC member approached Cheryl to ask about meeting with CPAC to discuss union representation for both of their groups
- Dawn has offered to meet with them to explain the collective bargaining process and what it can mean and not mean
- If there are any questions that HR can help answer or a presentation that they can prepare, she will be glad to do it.
- UPAC is concerned about what is coming
- No one is aware of any specific organizing activity or unions that are interested
- Employees do have a right to organize a union if they wish
- HR will not engage in any unfair labor practices or suppress or prevent what could happen
- Dawn will be talking to people internally to see if there is more information sharing that they can do on the process
