Structure

Size

8 (4 “Juniors”; 4 “Seniors”)

Term Length

Each member serves two-year terms (with terms starting July 1 of each year). Each June 30, 4 Senior members "graduate" and leave the Committee. The remaining Junior members become Senior members and 4 newly elected Juniors join the Committee.

Eligibility

A maximum of two managers can serve on the committee at the same time.

Elections

Elections are held in early June with the newly elected Committee members beginning their term on July 1 of the same year.

The Chair will manage the Committee member election process by drawing the names, facilitating all election conversations and questions, and keeping all of the names of the nominees confidential.

New (Junior) Members

Nominations (self or other) for the 4 new Juniors are to be submitted anonymously to the Culture Committee (via email) during the month of May. (People nominating others should ask the individual if they are willing to serve prior to making the nomination.) 

  • Each member of UCM can submit 1 nomination.
  • If more than 4 people are nominated, the election of the Junior members will be decided by a random drawing. If someone’s name is drawn more than once, a new name will be drawn.
  • If less than 4 nominations are submitted, volunteers from the committee who are willing to serve an additional year will be solicited. If no volunteers are identified, the spot will remain open for the year.
  • If someone leaves the committee during their term, a new name will be drawn from the pool from the previous nomination period. If no nominations remain, the spot will remain open for the year.
  • If more than 2 managers’ names are drawn, then the last manager drawn will be not receive a position and a new name will be drawn.

Vice Chair

In the first two weeks of July, members of the Culture Committee can submit nominations (self or other) of a Junior member for the Vice Chair position. (People nominating others should ask the individual if they are willing to serve prior to making the nomination.)

  • If more than 1 person is nominated, the election of the Vice Chair will be decided by a random drawing during the last 2 weeks of July. The person will be the new Vice Chair on the Committee for the current year. The following year, the Vice Chair will become the chair.
  • If the Vice Chair leaves the committee during their term, a new name will be drawn from the Vice Chair pool from the previous nomination period.
  • If the Chair leaves the committee during their term, the Vice Chair will assume the position, and a new name will be drawn from the Vice Chair pool from the previous nomination period to fill the Vice Chair position.

Secretary and Timekeeper

In the first two weeks of July, members of the Culture Committee can submit nominations (self or other) of a Junior member for the Secretary and Timekeeper positions. (People nominating others should ask the individual if they are willing to serve prior to making the nomination.)

  • If more than 1 person is nominated for each position, then elections will be decided by a random drawing during the last 2 weeks of July. The person selected for each position will be the Secretary and Timekeeper for the current year.
  • If either person vacates their spot during their term, we will draw from the respective pool from the previous nomination period.

Roles and Responsibilities

Each member of the Culture Committee agrees to do the following:

  • Serve as a voice/representative of UCM employees
  • Work to foster an engaged and supportive atmosphere
  • Attend monthly Culture Committee meetings* and those established for project work
    *Regular attendance is expected. An anticipated absence requires notification to the Secretary or Chair. More than three absences may require re-evaluation of ability to serve.
