University Senate - December 4, 2017 Meeting Minutes

Call to Order and Announcements

The University Senate was called to order at 3:50 p.m., in Room 111, Harrison Hall, Oxford Campus, on Monday, December 4, 2017. Members absent:  Juan Carlos Albarrán, Susan Baim, Stacey Lowery Bretz, Maggie Callaghan, Phyllis Callahan, Dana Cox, Michele Dickey, Lucas Elfreich, Alan Ferrenberg, Chip Hahn, Janice Kinghorn, Vahagn Manukian, Gabriella Meissner, Thomas Poetter, Aaron Smith, Pepper Stetler, and Valerie Ubbes.

  1. Announcements and Remarks by the Secretary of University Senate, Jeffrey Wanko
    1. Senators were reminded that the first Inclusion Series is Tuesday, December 5, 2017, from 5-6:30 pm in the Heritage Room, Shriver Center.  The topic is Universal Design in Higher Education.

    2. It was noted that there will be a reordering of the agenda to allow the Course Inventory Management (CIM) presentation to precede the Senate Consent calendar to give context to the proposed curriculum change.

Approval of University Senate Minutes

  1. A motion was received, seconded, and carried to approve the November 6, 2017, minutes of University Senate.

New Business

  1. Course Inventory Management System (CIM) – Carol Jones, Office of the University Registrar 
    1. The implementation process started 3 years ago.  A working group was formed to select a software solution to replace the manual processes.  Two products from CourseLeaf, CourseLeaf Catalog (CAT) and CourseLeaf Curriculum (CIM), were selected.

    2. The CourseLeaf Catalog Module was implemented in 3 months.  The CourseLeaf Curriculum Module was rolled out in October 2017 and is a curriculum workflow, notifying all those who are involved in the process.  It will automatically update the General Bulletin.

    3. CIM has an ‘ecosystem’ that shows everywhere the course is listed and used, which allows for collaboration amongst users.

    4. A demonstration was given.

New Business

  1. Student Affairs Transition Survey Update – Jayne Brownell, VP Student Affairs
    1. The transition survey is a project that is part of student success committee and is spearheaded by Student Affairs. The survey is sent to all new students. This year was the third year.  For the first two years, the survey was sent out in weeks 4,5, and 6.  This year, due to the Campus Climate Survey, it was sent out in weeks 8 and 9.

    2. The survey is based on transition literature and examines social and academic transition. The goal of the survey  is to get an overall snapshot of new student experience. An advisor can then look at individual response and make referrals as needed.

    3. This year’s response rate was 21.5%.
