Workday Student Implementation Moving Forward

In July 2024, Miami implemented Workday – the university’s brand-new enterprise resource planning (ERP) system. Currently, Miami is live in Workday with HR, payroll, and financial functionality.

The university has been experiencing a period of stabilization over the past 6 months. As we are acclimating to life in Workday, we want to express our gratitude and appreciation for each member of the Miami community. We recognize that this has been a long and sometimes difficult journey, but we know the benefits of this transformation will serve the university and its people for years to come.

The next phase of the Workday implementation is already well underway! Our Workday Student implementation team is hard at work, making critical configuration decisions related to Admissions, Financial Aid, Student Financials, Curriculum, Registration, Advising, and Student Records.

"We are excited to implement a significantly more modern system with a unified interface and mobile app capabilities that our students have come to expect," notes Duane Drake, Workday Steering Committee member and Sr. Director of Enrollment Management & Student Success (EMSS) Operations. "More detailed and actionable tasks and information will be available at your fingertips without having to use multiple different systems."

Workday Executive Sponsor and Vice President of EMSS Rachel Beech agrees. "Workday Student will create a single source for current student data, allowing us to add new resources to help students make progress toward their degree and for departments to understand course demand."

Although there is a focus on Workday Student as an application, this switch of systems also allows various Miami departments to analyze and improve how business is done.

"Enrollment Management and Student Success is excited about the opportunity Workday Student provides us to review our processes and procedures to assure that we are operating in the best interest of Miami students," notes Beech.

Student functionality will be rolled out in phases as it is tested and finalized beginning in Fall 2025 and wrapping up in Fall 2026.

"In these early stages of Workday Student's configuration and discovery, we are seeing areas where a unified system will offer advantages and efficiencies," added Drake. "It will simplify and improve multiple business practices, including degree audit/academic progress, transfer credit evaluation, and planning capabilities."

At the same time, the less flexible nature of a Software As A Service (SAAS) solution, and the relative newness of Workday Student, do present several challenges that will require changes to both practices and policies. "The longer, phased implementation will allow us time to better prepare all of our stakeholders for how these changes will affect their experience in Workday Student," stated Drake.
