How to Schedule

Button. Text: Make an appointment You have three options for scheduling an appointment:

  • Use our online scheduling system
  • Call our Welcome Desk at 513-529-6100, from 10am-9pm
  • Stop by our Welcome Desk in King Library

If you want an appointment for 4 or more weeks, request a recurring appointment.

Scheduling and Cancellation Policies

  • Schedule 1 appointment per day, up to 2 days per week.
  • Cancel at least 2 hours before your appointment time, or your appointment will be marked as a "no-show." After 2 "no-shows," you will lose the ability to use our online scheduling system and must schedule appointments in-person, by phone, or by email for the remainder of the semester.

Using Our Scheduling System

You will need to register for an account, if you are a first-time user.

Scheduling On-Campus Appointments

We offer on-campus appointments on the Oxford campus, in King Library, BEST Library, and Peabody Hall.

  1. Select the schedule where you would like your appointment.
  2. Click on an open appointment time, indicated by a white space.
  3. Fill out your appointment form and provide information about your writing concerns.
  4. Click "Save Appointment." Your scheduled appointment will now appear in yellow.

Scheduling Live Online Appointments

In live online appointments, students meet in real-time with a consultant over video or text-chat.

  1. Select the schedule named "Online."
  2. Use the search drop-down menu at the top and select "Live Online."
  3. Click on an open appointment time, indicated by a white space.
  4. When asked to meet online, select "Yes - Schedule Live Online Appointment."
  5. Fill out your appointment form and provide information about your writing concerns.
  6. Click "Save Appointment." Your scheduled appointment will now appear in yellow.

Scheduling Written Online Appointments

In written online appointments, students receive written feedback in comment bubbles.

  1. Select the schedule named "Online."
  2. Use the search drop-down menu at the top and select "Written Online."
  3. Click on an open appointment time, indicated by a white space.
  4. When asked to meet online, select "Yes - Schedule Written Online Appointment."
  5. Fill out your appointment form and provide information about your writing concerns.
  6. Click "Save Appointment." Your scheduled appointment will now appear in yellow.

Cancelling an Appointment

Please cancel your appointment at least 2 hours before your appointment time. To do so,

  1. Select the drop-down menu under your name in the top left corner
  2. Hover over "My Appointments" and select the appointment you wish to cancel
  3. Scroll to the bottom of your appointment form and click "Cancel This Appointment" in red.

Joining the Waiting List

If you cannot find an open appointment that fits your schedule, you can use our Waiting List so you will be emailed when an appointment becomes available.

  1. Click the clock icon beside the dates you want in the left-hand corner.
  2. Select the range of times you are available.

Preparing for Online Appointments

All communication regarding online appointments takes place through email (from hwconline@MiamiOH.edu).

Preparing for Live Online Appointments

Live online appointments take place through Google Hangouts and Google Docs. Follow these steps to enter the video call through your Miami email.

  1. On the day of your appointment, check your email for a Google Invitation from hwconline@MiamiOH.edu, which will include a link to enter the video call. Click on this link to join the Google Hangouts video call, which will load in a new window.
    • If you are using a browser besides Google Chrome, you may be prompted to download the Google Hangouts Plug-In.
    • After downloading this extension, exit the Google Hangouts window and re-enter by clicking the video call link in your email.
  2. If prompted, give your browser permission to share your camera and microphone.
  3. Click "Join" to enter the video call.
  4. After entering the space, click the video camera icon to turn on your video. Wait for your consultant to enter the video call.

If you have technology issues and your video/audio isn't working, try the following solutions:

  • Double-check that you downloaded the Google Hangouts Plug-In.
  • Switch your browser to Google Chrome.
  • Close any conflicting programs using your microphone or video.
  • Give your browser permission to share your microphone and video.
  • Exit out of the video call and re-enter.

Preparing for Written Online Appointments

Written online appointments provide written feedback in Google Docs or Microsoft Word. Follow these steps to send your Google Doc and to send Writer's Notes before and after your appointment.

  1. Email your pre-appointment Writer's Note to hwconline@MiamiOH.edu before your appointment (see our explanation of Writer's Notes). You will receive an email reminder.
  2. Share your Google Doc with hwconline@MiamiOH.edu. Please provide your consultant's name and your appointment day/time (e.g., "Appt with Ryan on August 26 at 12pm").
  3. Wait for an email indicating that your consultant has commented on your Google Doc. You should receive this email within a few hours of your appointment time. You will also receive a link to a video summary of the consultant's written feedback.
  4. Email your post-appointment Writer's Note to hwconline@MiamiOH.edu. You will receive an email reminder.

You can inform us of any learning accommodations or needs on your appointment form. If you cannot access our appointment scheduling system, please call 513-529-6100 or email us at hwconline@MiamiOH.edu, and we can schedule your appointments for you.
