New voice mail policy in effect January 2016

vm-logoAs part of ongoing efforts to increase the efficiency and effectiveness of the data center, a voice mail aging policy takes effect Monday, Jan. 4. Beginning Feb. 2 and thereafter all voice mail that is 30 days old and older will be permanently deleted.

Currently, voice mail messages are retained on IT-managed servers unless the account owner deletes them. This means over 350,000 messages have accumulated over the years.

In Miami’s official document retention policies, voice mail messages are considered “transient records.” This category of informal or temporary message is to be kept for a period of 30 days to prevent accidental deletion. The exception to this rule is if the content of the message can be identified as a “record.” If that is the case, the message should be moved to a medium that supports record keeping, such as email. 

Miami offers three voice mail plans to faculty and staff. Here is how each works and how the new enforcement will impact those plans:

1. Email only Messaging/$3 per month – over 90 percent of departmental phones

  • You receive voice mail messages in your Google email inbox.  You do not receive a red light indicator on your phone.
  • With this option, email and voicemail do not work in sync. Deleting a message from your email does not delete it on your phone.  You may also check your voicemail through the phone.
  • NEW: All read and unread voice mail messages will be deleted when they are 30 days old.

2. Unified Messaging Voice Mail/$5 per month:

  • In addition to receiving messages in your Google email inbox, you receive a red light indicator on your phone.
  • With this option, email and voicemail work in sync. Deleting a message from your email also deletes it on your phone. You may also check your voicemail through the phone. If this option is used and you delete a message through the phone, you will also delete the message from your email as well.
  • NEW: All read and unread voice mail messages will be deleted when they are 30 days old.

3. Phone only (VMO) voice mail only/ $3 per month:

  • You receive a red light on your phone that indicates you have voice mail.
  • Your voice mail messages remain on your phone and are not delivered to your Google email inbox.
  • All voice mails must be listened to through the phone. 
  • NEW: All voice mail messages that are 30 days old and older will be deleted beginning on Feb. 2.
