You/Spouse/Dependent Gains or Loses Insurance Coverage

When you, spouse or dependent gains or loses coverage through a plan other than Miami's, it is considered a qualifying event. This is the only time outside of open enrollment that they can be added to or removed from Miami's plan.

  1. Decline coverage and/or drop individual(s) in Workday.
  2. Submit required documentation showing when individual's new coverage begins. This is the qualifying event date.

What Happens Next?

  1. The change to your coverage will be effective the first of the month following the qualifying event date.
  2. Your updated information is sent to the insurance carriers on the following Monday.
  3. Premiums are adjusted as needed and the change will show on the next pay check following the submission of the change form.
  4. New health insurance cards will be mailed within two weeks to the mailing address on file in Workday.

Loses Other Insurance Coverage

Steps to Take Within 30 Days of Qualifying Event

  1. Elect Miami's coverage and/or add individual(s) to your coverage in Workday.
  2. Submit a copy of marriage certificate and complete the Spouse Health Coverage form (for health only) and/or submit a copy of child's birth certificate.
  3. Call the Benefits office with any social security numbers. Never email social security numbers.
  4. Submit documentation showing when your or the individual's other coverage ends. (This is the qualifying event date.)
  5. Complete the Employer Verification Form (PDF) to add your spouse to your Miami coverage.

Benefits Changes in Workday

With Miami’s transition to Workday, all benefits changes are now able to be input by the employee. Qualifying life events—such as marriage, birth, adoption, or a change in insurance coverage—are instances when you may update your benefits.

Before You Begin

Depending on your qualifying life event, you will need to submit appropriate documentation to Workday (e.g., birth certificate, marriage certificate, etc.). It is a good idea to have a digital version of this prepared in advance.

Step One

From your Workday home screen, select 'Benefits and Pay' from your apps (accessible by selecting 'Menu').

Step Two

In 'Benefits and Pay', select 'Change Benefits' at the top. You will then be prompted to select your change reason.

Step Three

Continue to fill in information and submit as prompted. You will be taken to a page that allows you to edit your Benefits. Once you submit this, you will have done all you need to do.
