Notice of electronic delivery of 2025 tax documents
As we close Calendar Year 2025, we are writing to share information regarding end of year tax documents.
Form W-2
Employees are defaulted to the electronic delivery for the 2025 Form W-2. Instructions on how to access and print the 2025 W-2 are provided at the end of this communication.
Employees who prefer a paper W-2 must opt-out of the electronic delivery by Dec. 31, 2025. To change the election in Workday employees access their profile using the following steps:
If opting for a paper W-2, it is essential for employees to verify their current Home (Primary) Address is reflected on their profile in the Contact section.
Please take a moment to review your personal information in Workday and confirm that your Home (Primary) address is accurate and up to date.

- Earliest access to your W-2, posted directly to your Workday profile
- Ability to print, download, or save securely to a personal device or cloud storage
- Convenient year-over-year storage of tax documents in one location
1095-C
As a reminder, Form 1095-C is not required to file federal or state taxes. Miami University will not automatically print or mail 1095-C forms for 2025. However, if you would like to have this for your personal records, you can find your 1095-C form in Workday by navigating to the "Benefits and Pay" section of the menu, then clicking on "Benefits" and selecting "ACA Forms.” Alternatively, you can use the search bar at the top of the Workday homepage and type "My ACA Forms.” From the ACA forms page, you can then view, print, or download the document. This document is not required or needed for any tax preparation and/or Affordable Care Act requirements.
Employees may also request a Form 1095-C from Benefits Services on or after Jan. 31, 2026, by contacting: Benefits at benefits@miamioh.edu or 513-529-3926.
Follow these steps to change your W-2 preferences:
- Login to Workday
- Select Menu upper left corner
- Select pay
- From this menu select My tax Documents
- Select Edit
- Select receive both electronic and paper copies of my Year end Tax Documents
- Select the Done button.
The process is now complete. You will be returned to your My Tax Documents page where your new election will be displayed.

- How do former employees receive their Form W-2? Employees who separated from employment in CY2024 (former employees) will receive a paper W-2 mailed to the address on their employee record. Former employees may contact HR at employment@miamioh.edu with updated address information.
