Updated P-Card application and maintenance process in effect Aug. 3
All new P-Card applications and increase requests will be submitted through Workday
Effective Aug. 3, there will be a change to the P-Card application and maintenance process. Physical P-Card applications or paper P-Card limit increase request forms will no longer be accepted. Going forward, all new P-Card applications and P-Card limit increase requests must be submitted electronically by using the Create Request task in Workday.
Please note that P-Card Requests and Increase Requests are not delegable tasks, and these types of requests submitted on behalf of others will be rejected.
This change is intended to streamline the process, improve efficiency, and provide better tracking of requests.
In addition, P-Card spending limits will be updated. Effective Aug. 3, all new P-Cards will be issued using the new spending limit structure. Existing P-Card spending limits will be updated during the first week of August.
Under the new structure, all individual P-Cards will have a single transaction limit of $5,000 and a monthly spending limit of $20,000. Departmental P-Card limits will move to a tiered structure as outlined below:
Low Tier:
- Single Transaction Limit: $5,000
- Monthly Limit: $35,000
High Tier:
- Single Transaction Limit: $10,000
- Monthly Limit: $50,000
Initially, all departmental cards will be assigned the lower tier. If you are a departmental cardholder and have reason to believe the higher tier would be more appropriate based on your department's specific needs, you may request it using the increase request process outlined above. If you believe your department's monthly limit should be higher than the $50,000 per month allotted by the higher tier, that may be requested as well; however, you must be able to justify your reasoning in the request. In either case, all increase requests will also need to be reviewed for approval by your departmental manager, vice president, the chief procurement officer, as well as the senior VP of Finance and Business Services.
