Workday Student Project Makes Progress as Campus Prepares for Next Phase

The Workday Student project is well underway, with teams continuing to configure the system and validate data to be ready for the first round of testing at the end of June. The project team will be providing key updates, including upcoming testing, opportunities for training, and an overview of when student features go-live, on a refreshed website. Miami University's transition from Banner to Workday Student is gaining momentum, with major milestones on the horizon and key updates now available to the campus community. 

Configuration Progress Brings Testing into View 

The project is in the middle of the Architect and Configure stage, a critical phase where key decisions are being made that will directly shape how faculty and staff interact with processes like advising, admissions, course scheduling, financial aid, and student records.  

These decisions lay the groundwork for how day-to-day tasks will function in the new system. As the system design becomes more finalized, the project will move into End-to-End (E2E) testing in June 2025. This testing will simulate real scenarios, like registering a student, updating course information, or managing financial aid, so we can ensure everything works smoothly before go-live.

A Timeline Built around the Student Experience 

While the Workday Platform implementation had a single launch, the rollout of Workday Student is intentionally designed to align with the student lifecycle, creating multiple introductions of functionality. 

Instead of a single go-live date, the implementation will unfold in phases through two “Move to Production” events and five key business milestones. This staggered approach ensures that new functionality is introduced at the right time, supporting ongoing academic cycles and the transition from legacy systems to Workday. A Fresh Look for the Project Website 

In support of the project’s evolution, the Workday Info website has undergone a full redesign. Serving as a central hub of information for all things Workday Student, the site offers easy access to essential resources, including the project overview, implementation team details, affected systems, terminology definitions, FAQs, and more. We encourage you to take a look! 

A New Wave of Change Champions Begins Their Journey 

Change Champion logoThe Organizational Change Management (OCM) team is continuing the Change Champion program with a new group of participants from areas across the institution affected by the Workday Student system.  

You can view the full participant list on our project’s Workday Team page. These individuals will be instrumental in supporting and promoting the Workday initiative. Change Champions will help drive Miami toward a shared vision of transforming the student and employee experience with a collaborative culture, data-informed decisions, operational efficiencies, and an empowered community. The Change Champion Kickoff is set for May 7, launching a year-long journey of engagement and advocacy. 

Training Plans Taking Shape 

Training for Workday Student operations will roll out in phases, aligned with the introduction of new functionality. Most users can expect training to begin in the Fall of 2026, with sessions offered in a variety of formats to meet diverse learning preferences. Affected groups will be invited to take part in training sessions as they become available. 

Banner Decommissioning Project is Underway 

We are pleased to announce the commencement of the Banner ERP system decommissioning project. As you know, the full implementation of Workday is scheduled for completion in September 2026. Following this successful transition, we will begin the process of decommissioning the legacy Banner system, with its license expiring on June 30, 2027. This project is crucial for ensuring a smooth transition to our new ERP environment and eliminating reliance on the outdated system. 

In the coming months, we will be reaching out to key stakeholders from around the university to schedule a meeting. During these meetings, we will: 

  • Gather information on historical data usage and requirements. 
  • Confirm plans for any applications that use Banner or its database. 
  • Discuss decommissioning steps and timeline. 
  • Address any concerns or questions you may have. 

We understand that the retirement of Banner and its database can raise many questions. We are committed to working closely with the university to minimize disruption and ensure a successful transition.
