1. Duty of Care & Traveler Safety
In the modern world, "Duty of Care" is a legal and moral obligation for employers.
- Real-time Tracking: If a natural disaster or political unrest occurs, AAA knows exactly where Miami’s employees are.
- Traveler safety and support: The program provides 24/7/365 assistance, with average hold times around 75 seconds, far faster than airlines. AAA tracks travelers to fulfill Miami’s Duty of Care obligations as an employer. AAA supports through real-time traveler tracking, manages unused tickets and airline eCredits, advocates for refunds and waiver of no-show fees, resolves charge disputes, and ensures travelers fully leverage applicable vendor program benefits.
- Duty of Care: For all trips booked through Concur/AAA, travelers and managers receive proactive pre-travel advisories, real-time safety and disruption alerts (including U.S. Embassy, natural disaster, political, and security updates), and multi-channel notifications, with immediate support to rebook and move travelers out of impacted areas.
2. Major Cost Savings
AAA doesn’t just find "cheap" flights; they leverage industry relationships to lower our overall spend.
- Negotiated Rates: AAA provides access to exclusive corporate discounts on hotels, airfare, and car rentals that aren't available on public sites like Expedia.
- Travel Policy Compliance: AAA uses Concur software that flags bookings that exceed Miami’s budget
- Consolidated Reporting: Miami gets a bird’s-eye view of where every dollar is going
- Significant cost savings and ROI: On average, companies save 10–12% on travel spend (source: GBTA), and Miami’s program is delivering a 10:1 return on fees paid. Programs like FareSaver and HotelSaver capture additional savings even after the initial booking, while AAA’s negotiated hotel rates at more than 50,000 properties globally ensure the best value every time.
3. Efficiency and Time Recovery
The average employee spends hours "shopping" for the best flight. AAA streamlines this into a few clicks.
- Centralized Booking: All flights, hotels, and transport are in one itinerary.
- Groups: Group Booking for 10+ travelers.
- Group Desk has extensive experience managing travel logistics for Higher Ed groups and athletics worldwide.
- Rapid Itinerary Adjustments: When plans change, travel often needs immediate modifications. Our team is prepared to swiftly rebook flights, adjust accommodations, and secure new transportation.
- 24/7 Dedicated Support: Our Group and Sports Travel Consultants are committed to their teams, working odd hours and weekends to ensure smooth travel transitions when schedules change.
- Time-Sensitive Execution: Whether it's rerouting an entire team or securing last-minute return flights, we prioritize speed and efficiency to minimize disruptions.
4. Expert Guidance & Account Management
You aren't just getting a booking tool; you’re getting a consultant.
- Unused Ticket Management: AAA tracks canceled flights and ensures those "credits" are applied to future trips so Miami’s funds don’t just vanish.
- Reporting: Full reporting capabilities through Concur, including reusing unused tickets.
- Sustainability Tracking: Through Concur, AAA provides carbon footprint reporting to help Miami meet Environmental goals.
- Comprehensive program management: AAA monitors vendor relationships and contract performance, manages Concur customization, and provides dedicated account manager support. This ensures compliance, actionable reporting, and recommendations for policy adjustments.
- Access to exclusive benefits: Travelers and the Miami gain access to vendor programs and special services not available outside a managed program, such as United refunds, waivers, and name changes on unused tickets, plus ongoing advocacy for any issues that arise.

How can I access profiles for faculty in Concur?
To request access to book on behalf of someone else: Send an email to the traveler asking them to add you as a travel arranger, those steps are outlined below. The traveler will then need to go to Profile > Profile Settings > Setup Travel Assistants. Then click on Add an assistant, type in the name, select the name and make sure to select the box marked Can book travel for me.
What are the required fields on the profile page?
The fields required on the Profile page are contact telephone numbers, email address, and fields required by Miami University. You can also enter travel preferences such as frequent flier information and seating preferences.
What if information is missing from my profile?
Please enter the information manually into your profile.
What if I have any other issues with my profile?
AAA Corporate Travel system-related support can be reached by calling 877-463-0543.
Can I change my seats?
Yes, to make changes to your seat assignment, click the trip name in the View Trips area of Concur.
- Click the Change Seat button on your itinerary.
- Seat information appears at the bottom of the seat map page, showing which seats are available, which seats are occupied, and which seats are considered preferential. In some cases, the bottom right corner shows the number of available seats by class of service for this flight.
- Hover the mouse pointer over any seat to see the actual seat number. To change your seat, click the seat you prefer. Once you select your seat, you can either click Change Seat or select the next flight in your reservation to change another seat. Concur will prompt you to save your new seat selection.
How do I ensure my preferred seat is confirmed? Can I see all available seats?
The airlines provide up to the minute seat maps via Concur Travel. You can view available seats prior to reserving your flight by clicking on the seat map icon on the right of the Air availability screen. Up to this point, your frequent flyer numbers have not been submitted to the airlines so your status has not been accounted for. Once you have confirmed your flight, Concur Travel will confirm your seat based on your preference in your profile. If you would like to select your own seat, wait until you get to the Travel Details page and click on the Change Seat button. This will show you all available seats. Those with the applicable airline level of status will be able to book “preferred seats” typically held by the airline. Simply click on the desired seat and click Save to select your seat. The airlines reserve the right to change your seat based on the aircraft as well as your current status.
Does a traveler’s frequent traveler status allow them to choose a better seat assignment at a lower cost or no cost in Concur?
- Seat Assignments
- If a traveler has an elevated status on a carrier, the traveler can get seats closer to the front for no additional cost – these can be booked in Concur.
- Purchase of Seat Assignments
- Purchasing of specific seat assignments can’t be done in Concur. Specific seat assignments must be reserved directly with the airline. Please review Miami’s travel policy for policy requirements.
Does Concur send reminders for check-in?
No, Concur does not send reminders for check-in. That can be set up directly with the airline via their website.
Will I receive a copy of my itinerary once I book travel?
Concur Travel will send an itinerary immediately after the trip is confirmed. AAA will email the final itinerary when it is ticketed.
How can I view the itinerary for flights I have already booked?
On the Concur page, review the View Trips section. For more detailed information, click the appropriate trip name in the Trip Name/Description column and then click View Itinerary.
How do I change my reservation after it’s been booked?
To change an airline reservation, please contact AAA Corporate Travel at 877-463-0543.
How do I cancel or change my reservation after it's been booked?
You can cancel your ticket directly by logging into Concur. There is no service fee for a cancellation for air, car, or hotel.
Can travelers contact the airlines directly to resolve cancellations and changes?
You can cancel your ticket directly by logging into Concur. There is no service fee for a cancellation for air, car, or hotel.
What if a traveler does not have a credit card for payment of a hotel?
A Miami PCard must be used to book travel. Travel can be booked with department PCards and Travel PCards. Per accounting rules the Department PCard number must be removed from individual travelers profiles after the booking is completed - this can be done by travel arrangers. Department PCard holders aka travel arrangers booking travel on behalf of others can maintain Department PCard numbers in their own travel profile. Travel PCard numbers may remain in traveler profiles. Concur and AAA are PCI-DSS compliant; we've never experienced fraud in Concur or with AAA. Saving a card number in your profile prevents you from having to enter it again with each booking.
Can unused tickets be refunded?
The majority of tickets purchased are priced as non-refundable tickets. The amount of non-refundable tickets depends on what type of fares are purchased. If a ticket is booked and canceled within 22 hours of booking, the ticket can be voided. If more than 22 hours since ticketed, most tickets, based on the fare purchased through the airline, will allow the funds to be used for one year from the date of issue minus an airline reissue fee. These tickets are automatically tracked in the traveler's profiles and used automatically if applicable when a new ticket is booked.
How are unused tickets used in Concur?
If a traveler makes a new reservation with the same airline of the unused ticket (during standard business hours) the system will send the reservation to a queue where an agent will review the new ticket versus the fare rules of the unused ticket. If all the rules are met then the agent will do an exchange using the unused ticket. If the rules are not met, the agent will queue the reservation for standard ticketing.
What if my search results in "no flights available"?
Try redoing your search using the multi-city search button. If your search requires multiple connections, the system's limit is 6 hours total connecting time for domestic flights and 13 hours total connecting time for international flights. By selecting multi-city it will override this hard-coded system setting.
Or, try opening up your search window from +/-3 to +/-9 to give you a larger search of flights available for the given day.
How many travelers can book travel on one itinerary?
Currently, you can only book travel for one person at a time in Concur. Concur will have a future enhancement that will allow you to rebook a travel arrangement to book for others more quickly in a future update. AAA can book flights for groups of less than 10 when it is critical to have the group travel on the same plane. There is an $18 fee for this vs $5 in Concur to book each individually. This call to a AAA agent will take permission from Strategic Procurement. There is an $18 fee per traveler for this service as it requires an agent to do this. The normal fee for Concur is $5 per traveler for comparison. For groups of 10 or more please click the groups tab in the travel portal.
How do I schedule a multi-leg flight?
On the My Concur page, click the Multi City link within the search criteria section.
Enter your departure and arrival information for each segment and then click Search.
What if my flight gets cancelled or rebooked while I’m on a trip?
It is recommended you call the help desk number in the travel portal. They are authorized to help travelers who are “in trip” and need help when an airline cancels or rebooks and the new flight the airline booked for the traveler is not acceptable. If you are at the airport you can certainly go to one of the airport ticket counters to see if you have been protected on another flight and if not, have them rebook you. The airlines will rebook you but it’s going to be whatever is available at that time. If the lines are long and you haven’t been protected on anything yet, then the better alternatives may be gone by the time you get to the counter. This is where you would need to determine whether waiting in a long line and getting whatever is left outweighs the cost of contacting AAA. AAA will be able to see if the airlines already have you protected on another flight. If they do, you can opt to stay with that flight and there will be no additional charge from AAA. If the flight the airline protected you on is not ideal, AAA will look for a better alternative. If one is found and it requires the ticket to be reissued, the $18 fee will apply as will fare differential. My recommendation would be to wait in the line at the airport and if the line is long I would call AAA while you wait.
What if I find a cheaper flight elsewhere?
You should still book through the portal to utilize Miami's benefits. If you find a lower price for the exact same flight, contact AAA Support at 877-463-0543 and email aaacorporatetravel@aca.aaa.com. In order to investigate any airfare difference between Concur and any competing online booking tool or airline site, we will need screenshots from Concur and from the competing booking site with the same timestamps. Please email those to aaacorporatetravel@aca.aaa.com and purchasing@miamioh.edu.
How do I book flights with Allegiant and Frontier?
Allegiant and Frontier currently do not participate with Concur. To book with these two airlines please call AAA Corporate Travel at 877-463-0543.
Is there an exception for those with a medical accommodation?
Ticket upgrades for travelers with a medical accommodation are permitted. Approvals should be made by Strategic Procurement in advance of booking travel and proper documentation should be included as part of any request.
Can I upgrade my seat?
The only way to guarantee a seat on a domestic or international flight is to select a seat during initial booking. Many airlines charge a fee to select seats. It is permissible to pay to select a seat in Basic Economy, Economy (aka Coach). Both refundable and non-refundable flights may be booked - please note refundable flights are often more costly. Upgrades from Economy tickets (or seat selections into a higher class of ticket) are not reimbursable (nor permitted on the P-Card). Classes of tickets that would be considered an upgrade would include Business Class, Comfort (or Comfort +), and First Class.
How do I pay for my baggage?
Baggage is to be paid with a Miami PCard at the airport during check in or on the airline’s website 24 hours before departure. AAA is not permitted to handle payment for baggage.
Is there an exemption for Study Abroad?
Study Abroad travel is not required to be arranged through AAA or the Concur Travel Platform. This exception relates to programs involving the use of suppliers providing turnkey trips such as KEI, IES Abroad, AIFS (American Institute for Foreign Study). These programs are coordinated through the Global Initiatives Department. Faculty and staff who in the past have booked commercial flights and hotels independently of these turnkey suppliers to attend these trips will be required to book flights using Concur and strongly encouraged to book hotels in this manner.
Please note: hotels cannot be direct billed through the Concur travel portal and generally must be paid using a PCard in the traveler's name or a credit card approval form must be in place with the hotel before check in.
What if I find a lower price at the same hotel than on Concur?
If you have found a lower price for the exact hotel, please email screenshots from Concur and from the competing booking site with the same timestamps to aaacorporatetravel@aca.aaa.com and purchasing@miamioh.edu. Departments should then reach out to AAA Corporate Travel at 877-463-0543 to inform AAA that a lower rate has been found. AAA Corporate Travel will then research the issue. In most situations, there is not an exact match on all criteria, which results in the price difference. Please note that non-refundable and refundable hotel rates may be booked.
Can I add a car or hotel to an airline reservation after it is booked?
Yes, you can make changes before your ticket is issued. To add or modify your trip, click the name of the trip on the View Trips section of My Concur and then click modify. You do need to book a flight before you book a hotel. You cannot book a hotel and then a flight.
Why does Concur Travel display hotels that are outside my search distance?
Concur Travel displays all company preferred hotels within a distance determined by Miami University. The search distance is a selected number of miles from your reference point. Because Concur Travel uses a square rather than a circle as the search boundary, the search results can include hotels that are farther away than the distance you entered. For example, if you select a 5-mile radius as your search distance, Concur Travel will build a square that is 10 by 10, with your reference point in
What if I’m attending a conference with a special rate?
If attending a conference/seminar that has a preferred hotel for attendees, departments are permitted to book directly with the specified hotel. Please note that refundable and non-refundable hotel booking has been enabled within Concur.
Can I book non-refundable rates?
Both refundable and non-refundable hotel rooms may be booked.
Can I book government rate hotel rooms?
Miami is eligible for certain government hotel rates. Clicking on “government” under Travel Preferences in one’s Concur profile will allow government rates to show during hotel searches in Concur for hotels that choose to offer these rates.
Can a student reserving a car via Enterprise be denied because of their age?
Generally speaking, no. The University's contractual agreement for Enterprise/National establishes the minimum driving age for rental; however, local and state rules and regulations in a particular area may prohibit rentals to those under 21. Additional information regarding rental cars can be found here.
What car size can I book?
In keeping with fiscal responsibility and stewardship of University funds, please reserve the most economical vehicle to meet the business needs of the traveler. Please choose a Miami-approved vendor (Enterprise/National/Hertz) whenever possible as these rental rates include damage waiver and liability insurance. Please note: damage waiver and liability insurance options must be accepted when renting vehicles from non-approved vendors. View Additional information regarding rental cars.
What do I do if a traveler does not have a credit card to rent a car?
Departmental billing accounts can be established at the request of the department to ensure proper billing for those employees/university guests that do not have a Miami University credit card in their name. Please contact Andrea Crane-Coyle at cranecac@MiamiOH.edu if you wish to establish a departmental billing account. Please note, this may take several weeks to process. University guests, not traveling on behalf of a department with an established billing number, must provide a personal credit card at vehicle pick up and be reimbursed per the travel policy.
