Who should I contact if I am receiving an error message when trying to submit a budget amendment?

Controller's Office

What does each area of the Controller's Office do?

The Controller's Office consists of the following departments: General Accounting, Accounts Payable, and Tax and Compliance. For more information, visit each departments page.

How do I correct an expense or help fund the expense for another cost center?

If the expense has NOT been transacted in Workday

The new funding source should be charged directly when the invoice or expense report is submitted. No additional entry is needed. This option eliminates the need for any additional adjustment later.

If the expense has been transacted in Workday

The preferred method, if the original expense is related to a supplier invoice or expense report, is to go to the original supplier invoice number or expense report number and select "Adjust Accounting task." (NOTE: not everyone has access to do this).

The alternative method is to submit a journal entry through the "Create Journal task" in Workday. Be sure to note the original document number (ex. supplier invoice number, expense report number, etc.) in the memo field and attach supporting documentation.

How do I correct where payroll is being charged?

Submit a costing allocation to correct upcoming payroll and related benefits that have not yet posted.

Submit a Payroll Accounting Adjustment to correct payroll and related benefits that have posted.

Payroll expenses cannot be corrected through the Create Journal task. Both Workday tasks (Costing Allocation and Payroll Accounting Adjustment) are required if payroll has already posted to the general ledger and upcoming payroll is planned.

How do I request a non-construction Miami specified Worktag?

  • Log into Workday and in the top menu bar enter "Create Request."
  • From the drop down menu select "All" and then select "Miami Specified New Worktag Request."
  • Once this has been selected continue to fill out the questions then hit the "Submit" button at the bottom.

What is the Adaptive Planning workbook?

The Adaptive Planning workbook is used by the Office of Plant Funds as a way to work with Asset Coordinators/Unit Point of Contacts to update assets in service at Miami University. Asset Coordinators will be asked to identify any location changes and disposition details for any equipment not found during the physical inventory. The physical inventory must include verification of the existence, condition, and location of all moveable capital equipment.

Where can I find information about tax related matters and questions?

The university maintains a Tax and Compliance page that provides guidance on tax-related matters, forms, compliance resources, and frequently requested documentation.

Why is the university tax-exempt under Section 501(c)(3)?

As a public institution of higher education, the university operates as a tax-exempt organization under Section 501(c)(3) of the Internal Revenue Code. This status supports the university’s educational mission and allows eligible donors to make tax-deductible contributions as permitted by law. Is the university exempt from paying sales tax on qualified purchases?

As a public 501(c)(3) institution and an agency of the State of Ohio, the university is generally exempt from paying Ohio sales tax on qualified purchases made for official university business. For more information, visit our Sales and Use Tax page.

How can I obtain the university's tax exemption certificate?

Departments and authorized individuals may request a copy of the university’s tax exemption certificate through the Office of Tax and Compliance website on the Sales Tax Exemptions Page. The certificate should only be used for official university business using approved payment methods.

What is Unrelated Business Income Tax (UBIT)?

Where can I find information about the university issued tax forms?

Please refer to the Commonly Used Tax Forms page for information about tax documents issued or used by the university, including forms such as W-2, W-4, W-9 series, 1098-T, 1042-S, 1099 and other forms.

Individuals should consult their personal tax advisor regarding questions about how these forms apply to their individual tax situation.

How do I request a change to a supplier who is already in Workday?

Supplier change requests can be submitted by using the "Create Request" task in Workday and selecting "Supplier Change" as the request type.

You will be asked to provide a brief explanation of the change that's needed and attach supporting documentation from the supplier that shows their new information.

Please note that any change to a supplier's name or Tax ID requires a new W-9.

How can I tell whether or not the supplier change request I submitted is complete?

End users have the ability to check the status by going to the request in their task box archive.

If the resolution field on the request says "Done," it means that the supplier record has been updated.

Clicking on the "Process" tab will also show you the process history, which should include a comment from the Accounts Payable Compliance Specialist confirming the changes that were made to the supplier record.

How can I tell whether or not a supplier is already in Workday?

Use the "Create Supplier Invoice" task and type the supplier's name into the "Supplier" field. If that field populates with the supplier you're looking for, it means that they are active in Workday and you may proceed with entering the invoice.

If the field doesn't populate, it means they are not active yet.

Alternatively, you may also contact Accounts Payable at accountspayable@MiamiOH.edu and they will check the supplier status for you.

How do I request a payment to an international supplier who wants to be paid in a currency other than USD?

Payments in currencies other than USD require a screenshot of a Google currency conversion in addition to the invoice.

Then, once the supplier invoice receives all of its proper approvals, Accounts Payable will request the wire from our third party partner, Convera.

Once we get confirmation that the wire has been successfully sent, we will adjust the dollar amount to reflect the actual USD amount at the time that the wire was sent and will contact the person who initially submitted the supplier invoice with confirmation. 

How do I set up a student worker as a supplier so they can receive a prize or stipend?

A student who is already being compensated via direct deposit as a student worker still needs to provide a direct deposit form to Accounts Payable be set up as a supplier. 

Investments and Treasury

Who do I contact to obtain ACH/Wire information for vendor's who are wanting to pay electronically?

How do I obtain a departmental credit card reader for an event?

Contact Treasuryservices@MiamiOH.edu to verify the availability and reserve the reader for pickup in 107 Roudebush Hall.

Where do I deposit checks?

Checks can be deposited at the PNC Branch in Shriver Center. A Cash Sale must also be completed in Workday after the deposit is made.

Where do I obtain a deposit slip if I do not have any available?

If your department does not have an ATM deposit card or slip, you can obtain one from 107 Roudebush Hall. Student Organizations can borrow an ATM deposit card from Student Activities in Armstrong Center.

How do I completed a cash sale after making a deposit?

What are the competitive selection/bidding requirements (non-construction)?

What is Miami's P-Card policy?

Refer to our P-Card page for more information. Specific questions can be answered by the Office of Strategic Procurement by emailing purchasing@MiamiOH.edu or Accounts Payable at accountspayable@MiamiOH.edu.

What are the procurement requirements for purchasing transactions related to grants or sponsored programs?

Special procurement requirements often apply to purchasing transactions under a federal award or other sponsored programs. In cases where the terms of the grant or contract are more restrictive than the university's policy, those terms shall govern. In cases where the limitations imposed are less restrictive, the university's policy shall apply.

How do I add funds to my student organization card?

To have funds added to your student organization card, the student organization treasurer must submit a spend authorization request. The instructions for this can be found in the Treasurer Training.

To submit a spend authorization (to have funds added to your student organization card), the treasurer can search "create spend authorization" in the search bar, or they can go to the expenses hub, select "spend authorizations", and then select "create spend authorization."

How do I add or change suppliers?

To add a supplier, create a supplier request in Workday. To change a supplier, create a request, and select supplier change. For more details, visit our Setting Up Suppliers page.

Travel Services

Can I request reimbursement before travel?

No, travel cannot be reimbursed until after the travel has taken place.

Can my seat be upgraded on my flight due to a medical accommodation?

Ticket upgrades for travelers with a medical accommodation are permitted. Approvals should be made by Strategic Procurement in advance of booking travel and proper documentation should be included as part of any request.

Can I take my department P-Card on travel status?

No, departmental P-Cards cannot be taken on a trip and be used by employees while traveling.

How do I request an exception on the travel policy?

All exceptions to the travel policy must be received through Procurement.

How do I reimburse a non-Miami individual for travel expenses?

Non-Miami travelers should be set up as External Committee Members, not suppliers. To request this, please use the Create Request task in Workday and select "External Committee Member Setup Request" as the request type and fill out all of fields it prompts you to and attach a signed copy of their W-9 from the current calendar year.

Once they've been set up, you can create an expense report for them by using the Create Expense Report for Non-Worker task in Workday. Please note that reimbursements to Non-Miami individuals can ONLY be paid by check.
