Request to Perform External Services

 

How to submit a request to perform external services

  1. Login to Workday
  2. Search for the “Create Request” task
  3. Select request type “Request to Perform External Services”
  4. Fill out the questionnaire and submit. If you select “Save for Later” the request will appear in your Workday task inbox where you can edit and submit from there.
  5. Your request will go through an approval process. You will receive a notification if the request is approved, denied, or if the request is sent back to you for edits.
  6. Repeat above steps to submit another request if needed.

Can I submit more than one request?

Yes, you can submit as many requests as needed. Each request will go through an approval process.

How can I find External Services requests I have submitted?

In Workday, search for and run the “My Requests” report to see all of your requests.

How can I find requests I have started but not submitted?

Requests “saved for later” will appear in your Workday task inbox. You can edit and submit from there.

As a manager, how do I approve external services requests?

Managers will receive a notification and a task will appear in their Workday task inbox when they have a “Request for External Services” to approve. Managers can:

  • Approve - the request will go to the next manager in the managerial chain. If the next manager = President, the approval process stops and the process is complete. The only exception is for workers who report directly to the President - those will go to the President for approval. The initiator will receive a notification when the request has been approved by all managers.
  • Send back - the manager will be required to enter a comment and the request goes back to the initiator who can then make edits and resubmit.
  • Deny - the manager will be required to enter a comment and the initiator will receive a notification that the request has been denied.
  • Save for later - task remains in manager’s inbox.

As a manager, how can I review all External Services requests submitted by my team?

In Workday, search for and run the “MU External Services Requests” report.

As a manager, can I delegate External Services request approvals?

External Services request approvals can be delegated. A manager can:

  • Delegate ALL request approvals for ALL request types (in Workday, go to Manage Delegations and in the "Do My Tasks On My Behalf" column select "For Business Process" and select "Request")
  • Delegate request approvals for ONLY External Services request types (in Workday, go to Manage Delegations and in the "Do My Tasks On My Behalf" column select "For Business Process" and select "Request" and in the "Delegation Rule" field select "External Services Requests" - this will delegate External Services Requests to the specified delegate)
